Front Desk Administrative Assistant

The front desk administrative assistant will work alongside the office manager and financial advisors in the fast-paced office to deliver excellent service to our customers. It is important that the assistant be able to effectively prioritize tasks. The administrative assistant plays an important role in ensuring that the client experience is a superior and positive.

About The Job

Responsibilities include:

  • Answer and direct phone calls in a friendly and courteous manner
  • Represent the advisors and the office by providing professional customer service at all times and professionally greeting clients, key people and prospects
  • Set client appointments and maintain the advisors calendars \• Coordinate incoming and outgoing mail daily
  • Perform basic filing, faxing, scanning, and mailings daily
  • Order and maintain office supplies
  • Provide administrative support as needed
  • Maintain a clean and welcoming reception area and offices

Candidate Requirements

Candidates must have previous reception and scheduling experience to apply.

Candidates should have outstanding verbal and written communication skills, a desire for customer service excellence and high attention to detail. A strong memory, ability to quickly learn new tasks, and effectively follow procedures are required characteristics. This position requires keen attention to detail, a high level of accuracy, the ability to problem solve and prioritize work, and a desire for a team approach to the job. It is important that the assistant have the ability to rapidly assimilate new concepts and procedures, and make suggestions for improvements. The ideal candidate will be an energetic and enthusiastic team player with a welcoming presence, professional attitude, and the ability to learn quickly.

Lead Advisor

Responsible for developing new business, managing existing client relationships, nurturing a relationship with new clients, and working with and/or supervising other staff in client service delivery.

Qualifications include minimum of 3 years’ experience in investment management and/or financial advisory services with a demonstrated ability to nurture and manage client relationships, Bachelor’s degree from an accredited college or university; CFP® designation (preferred), Series 65, proficiency in planning and investment software, Office products.
